Most businesses assume a proper customer relationship management (CRM) system means months of vendor evaluations, a five-figure implementation budget, or a rigid off-the-shelf tool that never quite fits how the business actually works. At InertiaAI, we wanted to prove that assumption wrong — on ourselves, first.

On Sunday, 30 August 2026, we set out to design, build, and deploy a fully custom CRM for our own AI consulting practice. By the end of that same day, it was live in production, connected to a real database, capturing leads from our website, and running on a polished, mobile-responsive interface styled to match our brand. No months-long roadmap. No off-the-shelf compromise. Started and finished — same day.

This article walks through what we built and why it matters if you're a business considering what a custom system, built with modern AI-assisted development, could do for you.

The brief

InertiaAI needed a single home for four things that were previously scattered across spreadsheets, email threads, and sticky notes: new client records, leads coming in from our website's contact form, active client jobs and projects, and prospective clients who still needed to be followed up. On top of that, we wanted visibility into our sales funnel — a clear view of where every prospect sits between "just enquired" and "signed on" — and we wanted the whole thing to look and feel like an extension of our own brand, not a generic template.

What we built

The result is a purpose-built, single-user web application with its own dedicated database, a secure serverless backend, and a dashboard-first interface designed around how a small consulting practice actually works day to day. At a glance, it includes:

  • A live sales funnel and pipeline board covering every stage from New Lead through Contacted, Qualified, Proposal Sent, Negotiation, and Engaged (or Lost) — with drag-and-drop cards, a searchable list view, and running totals of pipeline value at every stage.
  • Automatic website lead capture — enquiries submitted through the InertiaAI website's contact form now land directly in the pipeline in real time, tagged by source, with no manual re-entry.
  • A client management module tracking status (Active, On Hold, Past), contact details, and history for every confirmed client.
  • A jobs and projects tracker linked directly to each client, with status tracking (Proposed, In Progress, On Hold, Completed, Cancelled) and dollar-value totals per stage.
  • A one-click "won deal" workflow — the moment a pipeline record is marked Engaged, it can be converted straight into a client record, with a guided checklist for the onboarding steps that follow.
  • An executive dashboard surfacing the numbers that matter at a glance: open leads, open pipeline value, active clients, and jobs currently in progress, alongside a "needs follow-up" list that flags overdue contacts and puts every phone number and email address one click away.
  • View-first record screens — opening any lead, client, or job shows a clean, read-only summary first (with click-to-call and click-to-email links), with editing available a single click away, so day-to-day use stays fast and mistake-proof.

The technology underneath

Under the hood, the system runs on a modern, low-overhead architecture chosen specifically for reliability and speed rather than unnecessary complexity.

Database integration. Rather than building and maintaining a traditional database server, we designed a relational data model — three linked tables covering Pipeline, Clients, and Jobs — on Airtable, giving InertiaAI a real, structured database with the flexibility of a spreadsheet-style interface for direct inspection whenever it's needed, alongside full programmatic access for the application itself.

Secure hosting and backend. The application is hosted on Netlify, with all database communication routed through serverless backend functions rather than the browser. This matters more than it sounds: it means the credentials that grant access to the business's data are never exposed to the public internet, even though the front end is a fast, static web app. The one public-facing endpoint — the website's lead-capture form — is locked down to accept submissions only from InertiaAI's own domains.

Automatic mobile-responsive design. The entire interface was built to adapt to any screen automatically — desktop, tablet, or phone — without maintaining a separate mobile app or a second design. Layouts reflow, navigation simplifies, and touch targets resize, all from a single responsive codebase, so the dashboard is just as usable checking a lead on a phone between meetings as it is at a desk.

Built-in quality checks. Before anything reached production, the core workflows — adding a lead, converting it to a client, creating a job, and confirming the dashboard numbers update correctly — were exercised by an automated test suite, so changes could be shipped confidently rather than checked by hand every time.

Why the timeline matters

The headline number here isn't really the feature list — plenty of CRMs can track leads and jobs. It's the delivery model. Every part of this system — the database design, the backend, the interface, the branding, the deployment, and several rounds of live refinement based on real usage — was completed in a single day, by a small team working with AI-assisted development rather than a multi-person engineering project running over weeks.

That's the real shift AI-driven development brings to a business like InertiaAI's clients: the gap between "we have an idea for how our business should run" and "we have a working system doing it" can now be measured in hours, not quarters — and because the system is custom-built rather than shoehorned into a generic product, it fits the business's actual workflow from day one instead of forcing the business to adapt to the software.

The takeaway

This CRM isn't a demo or a proof of concept sitting in a sandbox — it's the live system InertiaAI now runs its own client pipeline through, built the same way we build for our clients. If a fully functional, database-backed, mobile-ready business system can be designed and shipped in a single day for our own operations, it's a fair preview of what's possible for yours.

If you're weighing up whether a custom-built system could replace the spreadsheets and disconnected tools your business is currently running on, this is what that conversation with InertiaAI looks like in practice.
